Position Purpose:
The Construction Coordinator is responsible for hiring and paying contractors who provide much-needed critical home repairs to low-income homeowners in need. Tasks include generating bid packages, scheduling contractor walkthroughs, responding to Requests for Information, reviewing bids, awarding contracts, contract development and execution, compliance review, tracking and reporting construction progress, oversight of budget including change orders, payments and third-party invoicing, project close-out, and required reporting.
Essential Functions of Position:
Procurement
• Build relationships to establish and maintain pool of qualified, licensed contractors and other vendors
• Maintain bidding schedule to meet established objectives for annual project completions
• Prepare and issue bid packages
• Prepare bid comparisons and secure necessary approvals
• Generate and track subcontracts, issue change orders, code and submit invoices
Subcontractor Coordination
• Coordinate with contractors to ensure timely scheduling and completion of projects
• Monitor program spending against budgets to ensure all are on track
• Establish and maintain construction start and end dates and resulting schedules
• Coordinate with consultants, structural engineers, architects, and others whose services are required prior to project bidding as needed
Project Monitoring
• Ensure all active contractors have existing executed contracts in place prior to award of bids
• Ensure all required certificates of insurance are provided for contractors and subcontractors
• Ensure that all needed building permits are obtained prior to issue of final payment
• Responsible for ensuring all project records are current, complete, and accurate by ensuring comprehensive data collection and documentation
• Coordinate final inspection and notice of completion sign-off with Habitat Inspectors
Knowledge, Skills, and Abilities:
• Commitment to the HEBSV mission to build and preserve low‐cost housing
• Proficiency with Microsoft Excel, Word required
• Familiar with Salesforce or other databases is useful but not required
• Basic knowledge of residential construction useful but not required
• Strong attention to detail
Working Environment/Minimum Physical Requirements:
Primary work will be performed at the Oakland office and from home
