Position Purpose:
Habitat East Bay/Silicon Valley is hiring an Event Manager to lead our diverse range of special events. Within each fiscal year the Event Manager plays an integral role in the formation, planning, and execution of two major fundraising events and multiple smaller scale events to support HEBSV’s vision of a world where everyone has a decent place to live. The Events Manager is a thought leader within the Development team on assessing the success of on-going events and strategizing on potential future events.

Essential Functions of Position:

Habitat-Hosted Events:

  • Establish planning timeline, budget, goals for events like Groundbreakings, Dedications, building events, stewardship receptions, virtual events, and fundraisers.
  • Secure venue, event rentals/purchases, food, decorations, security, audio/visual vendors, medical providers, and other services.
  • Coordinate with other staff members to ensure publicity, invitation, merchandise, guest list, staging, program, speakers, sponsor involvement and recognition, homeowner participation, volunteers, staffing plan, and signage.
  • For construction-related events, work with Construction staff to ensure site preparedness, create event flow and site map, and coordinate participant tasks.
  • Manage all event meetings.
  • Manage communication with outside vendors and agencies as applicable to event management.
  • Day-of event management including set-up, break down, staff communications, volunteer management, technical needs, and program support.
  • Conduct post-event debrief and document lessons learned for application in future events.

Sponsor Events:

  • Work with sponsor groups to coordinate events like kick-offs, build days, announcements, and special dedications.
  • Secure any necessary event rentals/purchases, food, decorations, security, and other services.
  • Coordinate with other staff members to ensure publicity, invitation, merchandise, guest list, staging, program, speakers, sponsor involvement and recognition, homeowner participation, volunteers, staffing plan, and signage.
  • Manage all event meetings.
  • As needed day-of event management including set-up, break down, staff communications, volunteer management, technical needs, and program support.

Third-Party Events:

  • Review all incoming proposals for third-party fundraising events.
  • Coordinate any necessary Habitat speakers, materials, and publicity support.
  • Ensure adherence to third-party event guidelines and branding guidelines.
  • Stewardship of third-party events contacts and communities.

Knowledge, Skills, and Abilities:

  • Event management experience.
  • Bachelor’s Degree preferred but not required.
  • Strong written and oral communication skills. Computer-proficiency.
  • Excellent planning and organizational skills.
  • Staff and volunteer management experience.

Working Environment/Minimum Physical Requirements:

Possibility for remote work but must be located in the Bay Area. Travel within our service area of Contra Costa, Alameda, and Santa Clara counties will be required. Must be able to work with a flexible schedule including attendance at occasional weekend and evening events. A personal vehicle is preferred but not mandatory.
